HPG Booking Terms and Conditions

Samurai Snow and HPG strongly recommends guests have comprehensive travel insurance to cover unexpected costs incurred by travel delays, injury or illness.

Bookings are subject to the Samurai Snow Terms and Conditions. 

Bookings are not confirmed until a booking confirmation email is sent from Samurai Snow. 

You must reconfirm your tour by 3pm the day before. You can do so by contacting HPG on the contact telephone provided to you in your Samurai Snow information pack.

REQUIRED INFORMATION

Each Booking must include:

  • Guest Full Name
  • Ability Level - refer to the HPG Off Piste Ability Chart
  • Type of Tour
  • Tour Start Time
  • Accommodation Name - all tours include a pick up from your accommodation.

PREFERRED INFORMATION

It is recommended that each booking should include:

  • Gender
  • Age
  • Fitness Level

TOUR SUSPENSION

HPG tours may be suspended if a guide decides that the guest’s safety cannot be assured due to inclement weather and/or unfavourable snow conditions.

  • When suspension of a tour is made before a lift has been ridden, the tour will be rescheduled to the next available day.
  • When suspension of a tour is made within the first half of the tour, 50% of the tour fee will be refunded.
  • When suspension of a tour is made within the second half of the tour, the tour fee will not be refunded.

CANCELLATION OF RESERVATION 

Payment

  • Full payment via the booking portal is required to complete the booking

Cancellation

  • 31 days or more prior to the lesson date: 25% cancellation fee (75% of the total booking price will be refunded*)
  • Within 30 days of the lesson date: 100% cancellation fee (no refund is provided)§
  • "Cancellation" includes changes that reduce the overall value of the booking.

§ Cancellations of fully paid reservations made within 30 days of the commencement date may be refunded in the event of illness or injury whereby the guest must present a medical certificate from a local hospital or local physiotherapist stating the dates the guest was incapacitated. The refund will be offered only to the guest whose name appears on the medical certificate. 

* Refunds are made in Japanese Yen. The amount that you receive in your home currency may differ from the amount you paid in your home currency due to exchange rate fluctuations.

CHANGES TO BOOKINGS 

Requests for booking alterations made more than 72 hours prior to booking date is possible but subject to availability.

Requests for booking alterations made within 72 hours of the booking date is not possible.

These alterations include: 

  • Changes to the product start time
  • Transferring product to other guests
  • Changes to product meeting point

HPG reserves the right to refuse to modify bookings when modifications include changing the lead guest name. This will quantify as a new booking and must be placed as such.

CHANGES TO GUEST DETAILS IN BOOKINGS 

When a lead guest name change is necessary, Samurai Snow reserves the right to treat this as a cancellation and apply the cancellation policy listed above.

GENERAL TERMS

  • For any reason, we will not extend or reschedule due to the guest's late arrival. No refund is offered for late arrival.
  • Guests must not consume alcohol on the day of their lesson, tour, or activity. If alcohol is consumed, participation will not be permitted, and the reservation will be treated as canceled. Refunds will not be provided in this case.
  • Guests may be filmed or photographed during the lesson, tour, or activity. Guests are required to notify Hanazono if they do not consent to media being used for promotional purposes.
  • Hanazono strongly recommends guests have comprehensive travel insurance to cover unexpected costs incurred by travel delays, injury, or illness.
  • Hanazono will not be held liable for any accidents that occur before, during, or after the tour.
  • A transfer service will be provided to and from the guest’s accommodation in Niseko Area. The guest is required to be fully dressed and ready, a minimum of 10 minutes before the advised pick-up time. A no-show to a scheduled pick-up will result in the cancellation of your booking, with no refund offered.
  • Guests must be at least 12 years old on the day of the tour and meet the minimum ability requirements. Guests aged 12 to 15 must be accompanied by a responsible parent or guardian over 18 years. If a participant under the age of 12 is found to be on the tour, we reserve the right to cancel the booking, and no changes or refunds will be issued.
  • Guests aged 16 and 17 must have a written waiver from a responsible parent or guardian over 18 years. The HPG tour includes free rental of an avalanche pack with a beacon, probe, and shovel. If the guest chooses to bring their own, they are required to have a sound understanding of operating their equipment.
  • A valid lift pass is required for HPG tours. This is not included in the tour cost and must be arranged by the guest before the tour commences.
  • The guest is required to meet the minimum riding standard and be riding in control at all times.
  • For the safety of everyone, all participants must follow the instructions of the guide and abide by Niseko United rules and Niseko Rules throughout the tour. Non-compliance may result in the immediate termination of the tour, and refunds will not be issued under such circumstances.

Room Availability Information / Booking

The light blue bar at the top of the page shows the price and availability status of the accommodation (Available OR Enquire for Availability) for the stay dates listed.

When changing the stay dates, be sure to click the Update button to get the price and availability status of the new dates.

Where a discount is on offer, the pricing shown has the discount already applied.

Checking Availability

If the availability status is “Enquire for Availability” you can check availability by clicking on the “Enquire Now” button and submitting the accommodation enquiry form.

Please ensure you select “I/we would like to Check if this accommodation is available” in the first field of the form.

We will respond to you via email to confirm the availability status within 24-48 hours.

Booking

To proceed with booking the accommodation, click on the “Book Now” button and submit the accommodation enquiry form.

Please ensure you select “I/we would like to Book this accommodation” in the first field of the form.

Within 24-48 hours, we will send instructions to you on how to pay the deposit required to secure the booking.

The price of bookings is fixed in Japanese Yen but you can pay in your home currency.
